Post #4: Meeting 1-reflection


On 12th Feb, our team had our first meeting. When we were to start our meeting at COM1, we could not find a quiet place to hold a meeting (it seemed that most groups chose the same time and same venue) so that we had to hold our meeting in our lab, which was a little noisy.

After watching the video of our meeting, I think one problem is that our voice is a bit low as the result of the poor quality of video recording and the unsuitable environment for a meeting (there were some people talking and moving around). The three of us had to sit quite close to each other, which was due to the limited width scope of the computer. Because of the limited room, we made little eye contact.

Despite the objective factors, our meeting is successful in following the agenda and finishing all the discussion parts as the result of good preparation. During the meeting, the leader did most of the talking, while Ying Cong and I did not talk a lot. I think it is better if we, the members could talk more and provide more opinions in the meeting. From this meeting, I realize the importance and usefulness of an agenda for a meeting. An agenda provides useful information for both the leader and members: not just what the meeting is about, but also the way to conduct the meeting.

To sum up, a successful meeting is made up of competent participants, a clear objective, a detailed agenda and good preparation. (In my opinion)

    I agree with the part about the limited scope of the computer! I also felt that my meeting was a little weird because of that.

    I also agree that it is important for group members to speak, since it is essential that all members of a team have their opinions taken into account. Maybe you can give some reasons as to why you think both of you didn't get to speak much? But it's good that your meeting still went well because of adequate preparation!

    I think agendas are important too, because they guide the flow of the meeting and ensures that it doesn't go off track.

    It would have been better for your team to book a discussion room, since the lab was a little noisy and a more conducive place could have been used. Your team could have spoken louder, or a better quality camera could have been used. I agree that the limited space due to the camera scope makes it harder to discuss more naturally and look at each other properly.

    It was good that your meeting was successful and followed the agenda, which shows you had a purpose and guidelines to follow. Being prepared definitely helped. It was unfortunate that you and Ying Cong did not get to participate much, as you seem to want to have contributed more. it is important for you to voice out your opinions so as to do your part for the project, even though the leader’s duty is to guide the meeting along. Only then would the meeting be more productive and spontaneous. All the best for the next meeting!

    I think your group should have booked a discussion room to hold the meeting. It is quieter and more conducive which is suitable for videotaping the meeting. The part on limited width scope of the camera was also one of my group’s difficulties when videotaping the meeting. Due to limited width scope of the camera, my group did not make full use of the space that we had. In the end, the three of us have to squeeze at one corner so that everyone is being captured by the camera. I think you and Ying Cong should have talked more in the meeting so as to voice out all your opinions and your ideas. This will also helps to improve efficiency of the team. It is great that you all had followed the agenda closely. I agree that it is important to have an agenda in a meeting so that everyone knows the flow of the meeting and ensure that every detail is covered in the meeting.

    sigh i wrote comments like 10min ago but forgot to post and everything is gone and i kinda have to rewrite everything,arghhhhh.

    hahay your meeting sounds kinda chaotic, but im kinda expecting that (lolz), agreed on that its hard to find a place to host such a meeting, we also took quite a bit of time to settle down, guess next time we should learn from renuka and booked a room from central library.hmm and yea we all have the narrow scope issue coz most of us had to resort to the laptop embedded cam, which had a narrow scope, and we had to spread out, and thus the volume of our voice is compromised...hmm hmm

    haha i find it interesting how you made one statement "I think it is better if we, the members could talk more and provide more opinions in the meeting." haha well i think in this case the leader should be more proactive in prompting the participants to take part more actively, but still, its the participants who should be taking the initiatives to speak out, so next time dun be shy, voice out should you have anything to say =]

    Oh and dont skip tutorials again O_o haha

  5. I really appreciate all your advice. And there seems to be a lot for me to improve. I will try to speak out my opinions and be more confident about myself. The next meeting is based on the feedback and improvements on CG1102 project. Instead of just following the leader, I will try to look for a new approach to the problem (I am not sure if I can find a good one, because of my poor programming experience) and figure out the improvement or disadvantages.

    Your comments also mentioned the importance of booking a place for conducting the meeting and we will make the same mistake twice. The next meeting is approaching and we will make more efforts to conduct a more effective meeting.
